To ensure that their wedding is the best day of their lives, bridal couples leave nothing to chance when it comes to planning. As Wedding DJ in Zurich and the surrounding area I have the honour of being able to help organise great wedding celebrations time and again and thus gain an insight into the work of the planning teams. I have already been able to see some good ideas that I would like to share with you in this post as „Tips for the bridal couple“ have collected and compiled.
Scheduling and organisation
If you organise your wedding well from the outset, you will avoid a lot of stress on the day itself. Some of the things you should consider when planning include
- early organisation: Start planning as early as possible, ideally 12 to 18 months before the big day, to avoid stress and have a better chance of finding your favourite service providers and venues. Draw up a list of priorities so that you don't lose sight of the most important aspects of the wedding.
- Wedding planI have often seen how bridal couples have benefited from creating a detailed wedding plan. The plan can simply take the form of a checklist, supplemented, for example, by a diary shared with everyone involved. There are also useful preparation apps that help you keep track of everything.
- realistic budget planning: Estimate the total cost of the elements that are essential to you, such as the venue, catering and entertainment. Then look at your finances and decide how much you can and want to spend. Also put a little money aside to cover any unforeseen expenses. Good budget planning goes a long way towards ensuring that the bride and groom can enjoy the big day without any worries. I have detailed what a professional wedding DJ will cost you on my page for DJ prices and wedding costs described.
- Selection of the location: There are a few factors that you should definitely consider when making your choice, such as Size, available rooms, space, technical equipment, accessibility, neighbourhood, curfew, seasonal flexibility, children's playground, catering options, etc. Then make sure you get an idea of the venue on site so that it suits you and your celebration. (In my blog you will also find an overview with the most beautiful wedding venues in Zurich.)
All about the guests: invitation, seating arrangements and co.
For a successful wedding reception and a good atmosphere, it is crucial that the guests feel comfortable! The right „guest management“ can make a good contribution here. I also have a few tips for you as the bride and groom so that you can create the perfect atmosphere for your guests.
Send out invitations in good time
One of the first points on the wedding plan should definitely be to draw up the guest list. Only when you know for sure how many guests you are expecting at your party can you start looking for the location and planning the catering and entertainment programme. As soon as the guest list is finalised and the location is booked, you should send out the invitations so that your guests have enough time to plan their attendance. I would advise sending out the invitations at least 6 months before the party.
Seating arrangements: the key to good conversations
A well thought-out seating arrangement can contribute significantly to the atmosphere of the party. Group guests who know each other and get on well together, but don't be afraid to encourage new connections by catering for similar interests. Wedding planning apps can also help with the seating plan. This makes it particularly easy to plan flexibly right up to the last day and also react to changes, such as cancellations at short notice.
A good tip for the bride and groom is to give a gift that matches the wedding. For example, I have already experienced weddings at the height of summer where the guests were very happy to receive fans on the table. At a winter wedding, each guest received a small hand warmer, which was then gratefully used during the outdoor photo session.
The big day has arrived: tips for relaxed bridal couples
The time has come: your wedding day has arrived. Now is the best tip for you as the bride and groom: Hand over the reins and relax! Your groomsmen or friends will be happy to take responsibility for everything and make sure that everything runs smoothly. Besides, you've thought of everything during the planning anyway - so you can chill out from now on!
Daily routine and time management
It is best to draw up a timetable for your wedding day with the people responsible. This should include all the important events, such as the ceremony, reception, meal and party, and should never be too tightly timed. Remember that it will always take a certain amount of time before the entire wedding party is ready for the next part of the programme. It is best to coordinate this plan with the service providers and give them a copy.
When planning, always think about a plan B. Unexpectedly bad weather, illness of certain guests, cancellation of service providers - such things can quickly throw the bridal couple into disarray on the wedding day and should definitely be covered by basic contingency planning.
It is very important that your maid of honour is responsible for the timetable and endeavours to keep to it.
Common „mistakes“ and tips on how to avoid them
All the tips for the bride and groom that you have read in this article come from my observations and experiences - and the desire for you to enjoy a relaxed wedding. There are a few „mistakes“ that I see time and again and would therefore like to address them separately in conclusion.
- Underestimate the budget: Many couples set their budget too low and are later surprised by unexpected costs. My tip: Create a detailed cost breakdown of all expected expenses and plan a small buffer for unexpected expenses.
- Planning period too shortStart planning too close to the wedding date often leads to limited availability and higher costs for service providers. It also often causes additional stress for you as the bride and groom. Start planning at least 12 months in advance to secure the best service providers and avoid unnecessary price increases.
- Guest needs overlookedTake the needs of your guests into account when planning so that everyone has a relaxed and enjoyable party. Too many stairs to the toilet, for example, can quickly spoil the fun for older guests. And if there are a lot of children present, you may want to have a play corner or book special supervision for wedding parties.
- Wanting to do too much yourself: If you want to take on too many tasks yourself, it can easily lead to a feeling of being overwhelmed and dampen your anticipation of the festivities. Have the confidence to delegate and get help from service providers in the right places.
- Lack of communication with service providers: Make sure you keep your service providers up to date with your plans. Communicate your expectations and wishes as specifically as possible so that they can help you organise a successful celebration.
- Lack of flexibility: My experience as a wedding DJ shows that it is essential to be able to react to unforeseeable events. Nothing is worse than planning an outdoor wedding and then being caught in the rain.
